Key Responsibilities:
1. Administrative Support:
- Manage the Director’s calendar, appointments, and meetings, ensuring optimal time management.
- Screen, prioritize, and respond to emails, phone calls, and other communications on behalf of the Director.
- Prepare and organize meeting agendas, materials, and presentations, ensuring all necessary information is available.
- Take and distribute minutes during meetings, ensuring clear documentation of key decisions and actions.
- Coordinate travel arrangements, accommodations, and itineraries for the Director.
2. Communication and Liaison:
- Serve as a key point of contact between the Director and internal/external stakeholders.
- Maintain positive relationships with key contacts, clients, partners, and staff on behalf of the Director.
- Handle sensitive and confidential information with discretion and professionalism.
3. Project Coordination:
- Assist with the planning and coordination of special projects as assigned by the Director.
- Track project timelines, deliverables, and milestones to ensure deadlines are met.
- Provide administrative support to project teams, including preparing reports and organizing project meetings.
4. Documentation and Reporting:
- Draft, edit, and proofread documents, reports, correspondence, and presentations for the Director.
- Assist in managing and organizing files and documents, ensuring easy access and compliance with organizational standards.
- Maintain accurate records of meetings, discussions, and action points for future reference.
5. Event Management:
- Plan and coordinate internal and external events, conferences, or meetings, including logistics and attendee coordination.
- Manage catering, transportation, and other arrangements for events and business functions.
6. General Office Support:
- Monitor and order office supplies, ensuring the Director’s office is well equipped.
- Perform other general administrative tasks as required by the Director.
Qualifications and Requirements:
Education: Bachelor’s degree preferred or equivalent experience.
Experience: Minimum of 2-5 years of executive assistant experience, preferably supporting senior-level executives.
